iPad Visibility App
A dashboard prototype to increase visibility and ease of tracking for the Ambulance service’s fleet of 5000 iPads.
All lost, stolen and damaged devices are manually managed centrally in a spreadsheet. Furthermore, a refresh of all iPads is conducted every two years, creating manual processes which become an operational nightmare for staff.

01. Overview
As the lead designer for this project, I worked alongside one of Australia’s state-operated emergency medical / ambulance service responsible for providing pre-hospital care and transport in urgent situations across Queensland.
One of the main tools of their ambulance and support staff is their iPads, with the focus on reducing the manual workload, streamline processes, create a centralised platform for all the data and for users to visualise useful data in order to make informed decisions.
02. Problem
The main challenge in managing these devices is the manual tracking of all iPads using spreadsheets. There is no centralised and standardised management of devices across the stations creating gaps and leaving the opportunity for iPads to “drop” out of the system. Another issue is that a single staff member is responsible for the data entry, tracking and management of all devices. The staff member has to manually gather and sort data from different sources.
Some manual processes include tedious data entry for lost or stolen iPads, as well as tracking their retrieval of iPads from staff leaving the service.
03. Design Process
As the lead designer, I conducted remote interviews and facilitated workshops with key stakeholders. I worked closely with the main SME over multiple sessions to complete a current-state user flow. The current processes and pain points were captured and all challenges were prioritised. Leveraging the expertise of our data specialist, we created a future-state flow and co-designed alongside the SMEs. Our process was as follows:

04. Solution and Results
My team delivered a digital platform prototype that provided a visualisation of available data in a centralised dashboard using Microsoft PowerBI and Power Apps. We worked closely with end-users to identify the most important data and filters to assist with tracking and managing the iPad fleet.
Features were designed based on some sample pain points below:
Pain Point #1 - Time consuming to find iPads.
Pain Point #2 - Little to no visibility on iPads.
Pain Point #3 - Manual processes using spreadsheets, emails and making phone calls.
